VETenrol Release Notes - January 2019

New Features

  • There is a new two part workflow designed to assist with short course and group enrolments. We call this data completion.

    It will be particularly useful when group bookings are received and those individual clients need to provide further information. Instructions on setting up and using this new feature are available in our article Using the Data Completion Feature.

    To facilitate data completion, there are a number of new things in VETenrol:
    • Client Data Completions to list details of newly completed collections.
    • Data Completion Settings to control the steps in the collection process.
    • Show study reason on confirm step option available from Mandatory Registration Steps, added to help facilitate data completions

 

  • Parent/Guardian workflow
    There is a new option to enable a Parent to endorse a registration when a client is under the age of 18. When enabled VETenrol will detect that the client is a minor and will prompt the user for the email address of their parent or guardian. Parent then receives an email requesting them to authorise the registration and complete payment (if required). Registration is pushed to VETtrak on completion of parent endorsement. There are tools in VETenrol to follow up outstanding authorisations. This feature can be enabled from your Admin by choosing Programmes > Parent Workflow from the menu.

The following are new features of the Registration Settings page, or standard registration process:

  • New options for the Confirm step, in the Mandatory Registration Steps section.
    • Disable Terms & Conditions option available removes the Terms & Conditions section.
    • Disable need to accept terms & conditions option still displays the text for Terms & Conditions, but does not show the checkbox for acceptance.
  • New Employer step options, in the Optional Registration Steps section.
    • Enable VETtrak employers auto-complete. The list of Employers can now be retrieved direct from VETtrak (instead of importing through Settings > Employers).
      Note that this will list all active employer records from your VETtrak database. It should be enabled only with the understanding that anyone using VETenrol could be able to see your corporate client list.
    • Force collection of employer details. The employer step can be made mandatory to complete with this option.
  • AVETMISS step options, in the Optional Registration Steps section.
    For privacy reasons AVETMISS questions are generally not mandatory, by default this is standard VETenrol behaviour but we have expanded the options to enable some fields to be mandated for clients who have an obligation to collect that data in certain circumstances.
    There are now options to individually mandate the following AVETMISS fields:
    • Country of Birth,
    • Language Spoken,
    • Secondary School Status,
    • Prior Education Recognition,
    • Study Reason,
    • Employment Status,
    • Length of Employment.

 

Updates

  • All references to Skills for All have been replaced and replaced with new WorkReady terminology.
  • Minor changes to default USI Privacy and default Terms & Conditions.
    Note that customers with existing entries in these fields will NOT receive this update and will need to be responsible for checking that their custom text meets 2019 requirements.
  • We have also added some new list controls to improve usability when working with long lists (eg Countries, Languages) so users can type characters and the list will filter the options displayed.
  • We have also improved logic so that the flow of the AVETMISS page works better. For example, if a client has not completed high school they wont be prompted to provide a year completed.
  • Terms and Conditions / Privacy Notice. NCVER have updated their Privacy Notice and the Standard VETenrol Terms and Conditions have been updated to reflect that. Note that customers with their own specific terms and conditions in these fields will NOT receive this update and will need to be responsible for checking that their custom text meets 2019 requirements.
  • The Mail Log report now details emails error messages received when an email fails to be delivered.

Major Release: Rapid Registrations

The Rapid Registrations feature overhauls the registration process, providing an alternative for short courses and non-accredited training that is independent to the standard VETenrol registration process.

As part of this release a number of updates to facilitate this new feature have been made:

  • Summary Report updated for alternative links.
  • Registration Builder enhancements, including support for Rapid Registrations.

 

New Features

  • Purge USI Data page.
  • Abandoned lists registrations that are incomplete.
  • Credit card discount for applying a discount to payments made via credit card.
  • Volume discounts to apply discounts to group bookings based on the number of places they've reserved.
  • New custom text controlled via Notices:
    • AVETMISS Notice to add introductory text to the AVETMISS step.
    • Submission Notice to add at the end of the registration process, just prior to confirming.
  • Block Expired is a Site Setting that checks for course expiry before completing registrations.

 

Updates

  • Save For Later/ help me improvements
    • Control over the support message.
    • More details are sent in the alert so that the enquiry can be followed up without needing to log in to VETenrol Admin.
  • Updates to Parent Workflow
    • ability to customise notice to parents
    • parent signature shown on HTML rego copy.
    • email to parent shown in the mail log.
  • Preview a Custom Questions from the Admin without needing to begin registration.
  • Duplicate an existing Email template.
  • Debit Success Payment Plan.
  • The USI Step collects city/town of birth for those born overseas (RTO create option).
  • Group Bookings - DOB is now optional at the places step.
  • Skills for All renamed WorkReady.
  • CRICOS number displays in the Contact Details section of VETenrol.
  • State/Territory filter for Schedule page.
  • Registration alert subject line will accept placeholders.
  • Test API connection updated to potentially identify security permissions issues (not just connectivity).
  • Column headers for Registrations are now sortable
  • RTO Notifications will no longer include personally identifiable information when there is no SMTP server provided and the default VETenrol mail server is being used. To overcome that, set up your own SMTP server as the mailing service, see this article for more information.

 



VETenrol Release Notes - 10th September 2019

New Features

  • Employer Bookings
    Bookings created through VETtrak can be published and treated as an occurrence by VETenrol.

 

Updates

  • Rapid Registrations
    • Option for Time display to be set to am/pm or 24 hour.
    • Position can now be collected.
    • Schedule page can now trigger Rapid Registrations via rapid=1 parameter.
    • Shopping Cart feature for Rapid Registrations Courses page. This is a feature by request and you will need to contact Support to activate it for your VETenrol account.
  • Parent/Guardian Workflow
    • New Status, Pending Parent Workflow Registrations, to filter the list of registrations.
    • Ability to edit parent email via Registration Details.
    • Override the parent workflow and create the Web Enrolment as is.
    • Cancel Button added to in-progress registrations.
  • Payment Settings
    New individual payment option: Allow Study Loan Payment Option.
  • AVETMISS Step
    File upload for the prior education question can be made mandatory.
  • NSW Smart & Skilled Step
    Added a new question, Have you successfully completed any qualification since turning 17 (Yes or No).
  • Working with Children/Vulnerable People
    If International Addresses are enabled and the user indicates they're registering from overseas, then the WWC step takes the location from the occurrence. This is used to determine which state the WWC data is based on.
  • Email Templates
    Additional placeholders for mail templates have been added, including Qualification Code, Qualification Name, and current date.
  • Custom Questions
    Mandatory drop-down fields now have a blank option by default that does not count as the question having been answered.
  • Group bookings
    Individuals in a group booking can now receive a confirmation email.
  • General security updates
    • Maximum password length has been increased.
    • Password masking has been applied.
    • There's a new method to set/change passwords.



VETenrol Release Notes - 14th November 2019

New Features

  • Course Enquiry Widget
    A stand-alone enquiry form that is not tied to the VETenrol registration process and can be added to a website that already has an existing VETenrol iFrame on the same page without causing conflicts.
  • ReCAPTCHA for Enquiry forms.
    Google ReCAPTCHA is now supported on VETenrol occurrence enquiry forms and the new course enquiry widget to help prevent spam.
  • Discounts are now supported by Rapid Registration.
  • Re-send an email from the Mail Log.

 

Updates

  • Individual Payment Preferences for Bill to Business and VET Student Loan options to remove those payment methods if the associated steps are excluded from the registration process.
  • Client Documents now supports the attaching of files to confirmation emails based on the occurrence location.



VETenrol Release Notes - 9th December 2019

The primary focus of this release has been compliance updates for 2020, but it also includes some other changes.

 

Updates

  • NCVER privacy notice has been updated.
    RTOs that are using the System Default for their Terms & Conditions (ie. the field has been left blank) will receive this update automatically.
    WARNING if you have text entered into your Terms & Conditions, even if this text was identical to the previous system default, VETenrol will identify this as Custom Terms & Conditions and will not apply any updates. Either delete your existing T&Cs to start using the System Default or make the necessary changes to them yourself.
  • AVETMISS Step changes
    • Tasmanian compliance - introduces Industry and Occupation.
    • Language other than English question is now Yes/No and only shows the language selector if No is chosen.
    • The Both answer for the Aboriginal / TSI question now reads Both Aboriginal/TSI.
    • Highest School Level Completed can now be made mandatory (which may be required for Victorian RTOs)
    • Disabilities are hidden unless the user indicates they have a disability.
  • VSN - multiple individual boxes to collect Victorian Student Number have been replaced with a single field.
  • Skills First Program
    • Uses Qualification Name and not programme name (if available).
    • Skills First file attachment is now PDF instead of html.
    • Signature from signature pad will now be applied to Skills First file attachment.
  • Sundry file upload has been updated to allow an optional number of file uploads. Settings are: OFF, 1, 3 or 5.
  • Mobile phone and email masking for the standard registration process to ensure the expected 10 numbers for mobiles and properly formed email address(es).
  • Registration Details attachment for automated emails is now PDF instead of html.
  • Minor changes for clarity, eg.
    • Label for DOB is now Date of Birth.
    • Other Names label is now Middle Name(s).
  • Reports:
    • Discount summary (new)
    • Log file has been updated to include further details when clicking the link for start date and to incorporate entries for Rapid Registrations.
