AVETMISS Errors Victoria - NAT00080 Client

The NAT00080 file contains client details. Almost all of these errors can be fixed by confirming the student’s demographic and address details in the Client Manager.

The Client Identifier in the Client (NAT00080) file must also exist in the Training Activity (NAT00120) and/or the Program Completed (NAT00130) file.VETtrak should not allow mismatched records between the NAT80, NAT120 and NAT130 files - you may require to do a fresh export of your NAT files to a new folder to avoid any issues with the TXT files not updating and resubmit for validation.
80008
For postcodes other than 0000, @@@@ or OSPC, the Postcode must be consistent with the Address Location - Suburb, Locality or Town (ie; match a postcode/description in the master list).This client's postcode does not match their suburb on Auspost.
To amend this, edit the Address page in Client Personal Information. Address postcodes and suburbs must match a combination on http://auspost.com.au/postcode.
Incorrect Suburb records can be amended through the Suburb Wizard. Once these records have been changed, you'll need to edit the Suburb/City/Town field against the Client record for the changes to take effect.
80014
If the Disability Flag on the Client (NAT00080) file is 'Y',  disability records must exist for this client on the Client Disability (NAT00090) file.This indicates that the client has a disability, however, that disability has not been stated.
To amend this, edit the Client Personal Information. On the AVETMISS page, check the Have Disability flags below.
80023
The Victorian Student Number (VSN) must be null or 9 digits and must comply with the VSN generation algorithm.Edit the Client Personal Information. Confirm the student's VSN, found on the Basic details page. VETtrak will check to ensure the number is in the correct format, so this error should not occur.
80049
For every Student (ClientID) on the NAT80 file where the Indigenous Status Identifier is 1, 2 or 3, the Country Identifier must be 1100, 1101, 1102 or 1199.This indicates that a client is self identifies as an indigenous person, but they were born outside of Australia. Skills Victoria considers this an unlikely combination.
To amend this, edit the Client Personal Information. On the AVETMISS page, check the Indigenous Status and Country of birth fields.
80050 Clients with a diploma level or higher should not still be at school.It is indicated that the student has completed a Diploma, however, At School indicates that they are in secondary school. Skills Victoria considers this an unlikely combination.
Edit the Client Personal Information and check the Have prior education and At School fields on the AVETMISS page are correct.
80051
A valid Victorian Student Number (VSN) must be entered for all Victorian students enrolled in any accredited or government funded training where the student is aged under 25.As indicated, you are expected to collect student VSNs for any student under the age of 25. Ensure that you are completing your VSN upload and downloads each month to ensure that these values are being populated.
80053
The state identifier must be 99 when the postcode is OSPC.This client's postcode indicates they are overseas, however, the state assigned to their address is in Australia.
To amend this, edit the Client Personal Information and confirm what suburb you have selected for their residential address. If the student is an overseas student, ensure that the Report address as overseas in AVETMISS checkbox is ticked. This will allow you to record an address in VETtrak, while reporting an overseas address in your AVETMISS uploads.
Incorrect Suburb records can be amended through the Suburb Wizard. Once these records have been changed, you'll need to edit the Suburb/City/Town field against the Client record for the changes to take effect.

The Postcode must be "OSPC" when State Identifier is "99".This clients state is overseas, however, their Postcode is an Australian postcode.
To amend this, edit the Client Personal Information and confirm what suburb you have selected for their residential address. If the student is an overseas student, ensure that the Report address as overseas in AVETMISS checkbox is ticked. This will allow you to record an address in VETtrak, while reporting an overseas address in your AVETMISS uploads.

The Victorian statistical guidelines indicate you should type 'not specified' in the street number field if you cannot collect this information. You can use the Usual address is not specified checkbox to automatically fill out the unspecified details.

To amend this, edit the Client Personal Information and check that a Street has been entered in the Address page.

To amend this, edit the Client Personal Information. On the Address page, a suburb/city must be selected. VETtrak will then populate the State field.

It is not expected that a student who is 10 years of age or younger has Prior Educational Achievement at Certificate 1 or higherThis indicates that the client's Date of Birth was 10 or fewer years ago, while the Have prior education field states this student has attained a Certificate 1 or higher. Skills Victoria considers this to be an unlikely combination.
To amend this, check the client's Date of Birth, found on the Basic Details page of the Client Details Wizard.
You will also need to check the AVETMISS page of Client Personal Information under Have Prior Education.

It is expected that students flagged as being at school cannot have a Labour Force Status of Full Time Employee.This indicates that the client is still at secondary school, while also a full time employee. Skills Victoria considers this an unlikely combination.
To amend this, edit the Client Personal Information, then check the At School and Labour Force Status flags, found on the AVETMISS page.
