Process: Recording Results in VETtrak

VETtrak has the ability to record Results to represent different levels of completion against Units/Modules within an Enrolment. Results make use of Result Types to communicate AVETMISS outcomes that differentiate particular levels of accomplishment, communicating whether a Unit is considered competent or not.

The Unit Result Wizard can be accessed in several ways to record results for either an individual or in bulk, such as against an Enrolments in the Client Manager, or an Occurrence in the Programme Manager

This article will cover the methods to record results for an individual within the Client Manager.

Recording Results Per Unit

To record tailored results per unit, with unique dates, you will need to use the Record Results function.

Within the Client Manager: Right-click on a specific contract enrolment, non-contract enrolment or occurrence enrolment, and select Record Results.

This will display the Record Results Wizard:

The wizard opens with the list of units in the enrolment shown in code order. The units can be sorted by unit code or date by clicking on the appropriate column header.

Click  to show/hide particular columns, allowing the entry of additional details should you require.

  1. The Status Indicator will change as you enter data:
    • Red - indicates an error. Hover or click on the red/yellow box for an explanation of what may be the issue
    • Yellow - indicates a warning.
    • Green - indicates that the data entered has passed a check for correctness.
  2. The Unit Code will be displayed in this column. Hover over a Unit Code to display the full Unit Name.
  3. Select an appropriate Result Type from this selection list. Result Types are set up in the Configuration Manager. These result types are used to communicate AVETMISS outcomes that indicate whether a Unit is considered competent or not, or if the training is still considered in progress.

    Existing Results will also display in this area - If a result is considered to be a Finalised Result, it will not allow any information to be amended. To change a previously recorded result, you will be required to Reset the Result and record new details. A Pending result (such as Continuing) can be amended at your leisure.
  4. Enter the Date this unit started or is expected to start, as well as the date this unit was completed or is expected to complete.

    If you have entered an Expected Duration for this unit, the Finish Date will automatically populate.
  5. Record any additional details as required, based off the columns you have chosen to display within this Wizard.

Press Next to progress the wizard. This will display the Finish button and the option to process an Award for this enrolment should you require:

Any applied Results will now display against the Units under the Student's Enrolment:


Recording Results in Bulk

To record a specific result in bulk for a group of units, with particular dates, you will need to use the Bulk Record Results function.

Within the Client Manager: Right-Click on a specific Contract Enrolment, Non-Contract Enrolment or Occurrence Enrolment, and select Bulk Record Results

This will display the Bulk Record Results Wizard:

The wizard opens with the list of units eligible for a result shown in code order.

  1. Select an appropriate Result Type from this selection list. Result Types are set up in the Configuration Manager.

    This is the result that will be applied to all selected units.
  2. Enter the Date the units started or are expected to start, as well as the date the units were completed or are expected to be completed.
  3. Record/Update a Text Comment for these results if required
  4. Select the Units you wish to apply this result to by ticking the Use selection box.
  5. The Status Indicator will change as you enter data. Yellow indicates a warning, and Red is an error - hover or click on the red/yellow box for an explanation of what may be the issue. Green indicates that the data entered has passed a check for correctness.

Press Next to progress the wizard. This will display the Finish button and the option to process an Award for this enrolment should you require, or to Repeat this wizard to apply a different result to any remaining units.

Any applied Results will now display against the Units under the Student's Enrolment.

This wizard can also be used to record Withdrawn results for a group of units, allowing the user to enter the required additional information for a Withdrawn result. For more information, please see our Recording a Withdrawn Status against Multiple Units section.
