Ledger codes provide a method of collating the income you receive from various offerings into categories. Utilising ledger codes can provide useful background data for financial reports.
Ledgers, as in accounting, are a method of keeping track of the dollar amounts associated with similar sales items. In VETtrak you can create and maintain ledgers via the Configuration Manager. Ledger codes can optionally be associated with pricing items in contracts, enrolments, occurrences and occurrence enrolments. This allows you to track the income, either potential or actual, linked to each ledger.
Open the Configuration Manager by choosing Manage > Configuration from the menu. The Configuration Manager displays an alphabetically ordered explorer tree.

Adding a new Ledger code
- Right-click Ledger code and choose Add new ledger code.
This will open the Ledger Code Wizard:
- Enter a Code for the ledger code.
- Enter a Name for the ledger code.
- This ledger code is inactive indicates if the ledger code should be archived. If ticked, the ledger code will be added/moved to the Archived ledger codes branch.
- Optionally provide a Description for the ledger code.
- Click Next and then Finish.
Editing an existing Ledger code
- Expand Ledger codes.
- Right-click the ledger code and choose Edit ledger code.
This will open the Ledger code Wizard, where you can make changes.
Deleting a Ledger code
- Expand Ledger codes.
- Right-click the code and choose Delete ledger code.
- Click Yes when asked to confirm the delete.
If an error occurs, the ledger code has likely been used previously and is included in historical data. In this case, you will need to archive the code to remove it from active use.
Viewing the ledger code report
This report lists all ledger codes in a printable report format and includes archived ledger codes.
- Right-click Ledger codes and choose Show ledger code report.
The report will be displayed in a new tab/window.
