Attendance Reasons

Attendance Reasons are used to clarify a particular type of Attendance beyond simply 'Absent' or 'Sick'. These items appear when recording Client Attendance:

Open the Configuration Manager by choosing Manage > Configuration from the menu. The Configuration Manager displays an alphabetically ordered explorer tree.

 

Adding a new Attendance Reason item

  • Right-click Attendance Reasons and choose Add New Attendance Reason.

 

This will open the Attendance Reason Wizard:

  • Enter a Attendance Reason name.
  • Optionally, enter a Code to identify the Attendance Reason item.
  • This Attendance Reason is inactive indicates if the Attendance Reason should be archived. If ticked, the Attendance Reason will be added/moved to the Archived Attendance Reasons branch.
  • This is an approved reason for absence will communicate that the attendance is acceptable.
  • Optionally, provide a Description for the Attendance Reason.
  • Click Next and then Finish.

 

Editing an existing Attendance Reason

  • Expand Attendance Reasons.
  • Right-click the Attendance Reason item you wish to change and choose Edit Attendance Reason.

This will open the Attendance Reason Wizard, where you can make changes.

 

Deleting an Attendance Reason item

  • Expand Attendance Reasons.
  • Right-click the Attendance Reason and choose Delete Attendance Reason.
  • Click Yes when asked to confirm the delete.

If an error occurs, the Attendance Reason item has likely been used previously and is included in historical data. In this case, you will need to archive the code to remove it from active use.

 

Viewing the Attendance Reason report

This report details all the Attendance Reasons, including those that have been archived.

  • Right-click Attendance Reasons and choose Show Attendance Reasons report.

The report will be displayed in a new tab/window.
