Employer Manager Overview

The Employer Manager provides an employer's perspective for your data. Employers in VETtrak are any entity that is not a person, ie. businesses, employers, referral agencies, government agencies, etc. 

Employers can be cited when creating contracts, enrolments, bookings, placements or invoices. Attributes and events can also be assigned to an employer.

To open the Employer Manager, choose Manage > Employers from the menu, or press F5 on the keyboard. Clicking the  icon on the toolbar, or from the Dashboard will also open the Employer Manager.

The Employer Manager consists of the following (as per the default layout):

  • Employer search
    Search through existing records for a particular employer. Clicking the refresh button will update the list based on the search parameters.
    • Use the text field to enter the search terms, then press Enter on your keyboard or click the   icon to run the search. You can search by:
      • Name (a string of letters forming the beginning of the name)
      • Name contains (any string of letters within the name)
      • VT Code
      • External code
      • User Code
    • OR
    • Enable the checkbox to select a category from the list. Employers matching the chosen category will be displayed. When selecting Employers by type, it is also possible to filter results to only Active or Inactive employers.
  • Employer information is the main content area which displays the details of the selected employer in an explorer tree. When an employer is selected this heading will be replaced with the business name, and a range of headings containing VETtrak data associated with this Employer.

    These headings include:
    • Attributes
    • Contacts
    • Branches
    • Employees
    • Invoices
    • Contracts/Bookings/Enrolments
    • Client Enrolments with this Employer
    • Events
    • Placements
    • Sent Email
  • File Note Feed shows details of any File Notesrecorded for the selected item.
    • The Add button will open the File Note Wizette.
    • The Report button will allow you to run a report showing the File Notes for this item.
    • The Filters allows you to choose a specific File Note Type to display. When a filter is selected only File Notes of that type will show in the log. You can also use the Comment field to filter within the File Notes body of text. Click the [X] button to remove the current filtering.
    • File Notes will display in individual panels, with options on each to View additional information, Edit the File Note, or Delete that File Note record.
  • Event log
    This section shows details of the events recorded for this employer. These are also available from the Events branch in Employer information.
    • The Add button will open the Employer Event Wizard.
    • Sort Order controls the ordering of the list of events.
    • The Event filter allows you to choose a specific Event type to display. When a filter is selected only events of that type will show in the log. Click the Clear button to remove the current filter.
  • Employer details
    shows basic information about the business. This information can be edited by right-clicking the Details branch of Employer information. If the employer has a primary contact assigned, with entries in the respective fields, the following icons will also be available:
    •  Opens the Fast Client Wizard to edit the contact.

    •  Opens the SMS Wizard.

    • Opens the Email Wizard.


  • Employer notes
    This section in the sidepane will display the notes for the employer. New notes can be added by clicking Save. These notes correspond to the notes section in the Employer Wizard.
  • Selected item information
    This section in the sidepane will display any relevant notes for the selected item.
  • Filter options
    Some selected items can be filtered. For example, if the Placement node is selected for a specific qualification, it will be possible to enable the Apply date range checkbox from the Filter section of the sidepane the nodes will then be filtered to the specified dates.
