Allowing users to pay for their course as part of the registration process

The Credit card payment method is offered to users for VETenrol accounts that have an integration with a payment provider. This option will be offered in addition to other payment methods, such as 'Invoice Me', if they are enabled and the option will be required if no other methods are enabled.

NOTE: The user will be required to select the payment method to complete their registration, but this does not enforce making the payment. Users can submit their registration and not complete step. Their registration will be recorded and appear in the VETenrol Admin with 'Pending Payment' set as the payment status.
This is useful for students as their time and effort is not lost if they have an issue with making the payment, which does not occur until after all of the registration details have been collected. It also allows organisations to follow up to offer alternative payment options.

In cases where courses are relatively cheap and/or the registration process is less involved, follow ups may not be cost effective. Post-Payment Push ensures unpaid registrations do not reach VETenrol at all. Organisations may request Post-Payment Push for their account, only by request to Support.

There are various payment providers available for use with VETenrol, as discussed in the article Automated Credit Card Payment Providers. Once the required details are provided for the provider of your choice, you can begin accepting payments as part of the registration process.

If you have been using VETenrol without a payment gateway, there are some steps you need to take to be ready to accept payments.

  • VETtrak: Prices published for Occurrences in VETtrak.
  • VETenrol: Settings for Costs.

VETtrak: Publishing Occurrence Pricing

New and existing occurrences need to have pricing information published for use with VETenrol.

For example, at the Pricing step of the Occurrence Wizard, pricing may need to be entered or existing pricing published.

  1. Select a Category/Item (eg. Enrolment)
  2. Click the Add button and choose an applicable price type for the course. Repeat to include more price types.
  3. Enter the cost (including GST) for the price type in the Amount column. Click the  icon to calculate the GST component of the amount entered.
  4. The Pub checkbox must be ticked to enable the price type.

VETenrol: Settings for Costs

VETenrol needs to display the pricing information that is available in order to charge the associated costs to the user.

Login to your VETenrol Admin and choose Configuration () and then Standard Settings.

  • Choose the Course Display tab.

In the Occurrence Details section, find Costs:

  • Ensure Show enrolment costs is ticked.
  • Optionally, tick the Hide costs with a zero dollar value.

Testing

When testing your VETenrol, there are two things to look for before proceeding through the whole registration process.

A suitable occurrence to test will have a price listed in the course details. Further when the registration process is begun, the summary information will also contain a price.

If the price is showing in both these locations, continue on through the registration process to complete the payment step.

IMPORTANT!   If published changes are not displaying in VETenrol, you may be viewing cached session data.

To be sure VETenrol retrieves the latest data from the API, please completely close your web browser including all tabs and windows before trying your VETenrol link again. Simply refreshing the browser will not make a difference.
