FileTrak File Types are used to configure document storage within your VETtrak suite of products. File Types can configure what documents can be uploaded/linked/applied where, across data types and portal products. They are managed via expanded headings within this area:
Open the Configuration Manager by choosing Manage > Configuration from the menus. The Configuration Manager displays an alphabetically ordered explorer tree.

Adding a File Type
- Expand FileTrak file types.
- Right-click File types and choose Add new file type.
This will open the FileTrak File Type Wizard:
- Enter a Name for the File Type.
- Optionally enter a Code for the File Type.
- This file type is inactive indicates if the File Type should be archived. If ticked, the File Type will be added/moved to the Archived File Types branch.
- Review file after sets a duration to generate a Review Date for a file attached utilising this File type.
- Optionally provide a Description for the File Type.
- Click Next.
This will display the File Type Applicability screen:
- Within this area you can configure what type of records within VETtrak should allow files with this type to be attached/referenced/uploaded.
- Click Next.
This will display the File Type Applicability in Web Portals screen:
- Within this area set the View and Upload permissions for each Web Portal product for this File Type item.
- Click Next and Finish.
Editing an existing File Type
- Expand FileTrak file types.
- Expand File types.
- Right-click the File type and choose Edit File type.
This will open the File Type Wizard, where you can make changes.
Deleting a File Type
- Expand FileTrak file types.
- Expand File types.
- Right-click the File type and choose Delete File type.
- Click Yes when asked to confirm the delete.
If an error occurs, the File type has likely been used previously and is included in historical data. In this case, you will need to set the File type to Inactive to remove it from active use.
Viewing the File Type report
- Right-click File types and choose Show File Type report.
The report will be displayed in a new tab/window.
Record Type Applicability
Provides an overview of what type of records within VETtrak allow what particular files types.
Expand a heading to review items under that record type:
Right-clicking on a node within this heading to amend File Type applicability for that item:
This will display a unique wizard to rapidly amend both assignable File Types and available applicability options:
Web Portal Availability
This unique section is dedicated to showing a collected list of File Types that are configured for use with VETtrak Portal Products.
Expanding a heading will display both the File Types that are set for that portal, as well as the permissions set for each:
Right-clicking on an item within this list will allow you to rapidly edit the permissions for File Types attached to that portal:
Within the wizard that appears, you can simply review and check/uncheck items as required:
