- File Attachments for secondary recipients. An issue where, sometimes, a secondary recipient (on the second level of the recipients grid) was not receiving the set of file attachments being emailed to the related primary recipient, has been fixed.
- Secondary Email Address. An issue has been fixed where emails were not being sent to the secondary email addresses of clients who were configured to receive them.
Other Changes
- AVETMISS ACT - NAT85 single name reporting. After clarification from Skills Canberra, we have updated the treatment of single-name reporting for students so that all single names will now be reported in both the Client family name AND Client first given name fields in the NAT85.
- Catapult LMS. When retrieving unit results from Catapult, any Catapult edition code is now ignored when matching the Catapult unit to a VETtrak unit.
- Finance integrations - Update contact details. An 'Allow updating contact details' setting has been added to the finance configuration Wizard. This setting can be turned off to stop VETtrak from automatically updating the details of contacts in your finance system.

Compliance
- ACT
- Single-name client. When reporting a single-name client in the NAT85 in ACT AVETMISS:
- If the trimmed single name contains a space, everything before the last space is now reported as the given name, and everything after the last space as the surname.
- If the single name does not contain a space, the single name is now reported in both and given name and surname fields.
- Single-name client. When reporting a single-name client in the NAT85 in ACT AVETMISS:
- NSW
- NSW ACE second-level disadvantage criteria. A new "Second-level disadvantage criteria" field has been added to the NSW AVETMISS page in the Enrolment wizard. This is only available when state funding source "CSD" is selected. The value selected here will be reported in the "purchasing contract schedule identifier" field in the NAT120 file when producing a NSW ACE AVETMISS generation.
- Activity period information. An entry for 10 (1/7/2023 to 30/6/2024) has been added to the Info for the Activity Period field in the Eligibility Information on the AVETMISS page in the Enrolment wizard
- Vic
- VIC Specialisation validation. The VIC AVETMISS NAT130 generation will now validate that a Specialisation has been entered in the award being reported when the Program Status Identifier is 80 (Streamed Program), as per the new validation rule in SVTS 14.11.
- WA
- Nominal Hours. The list of WA nominal hours has been updated. Use the Update AVETMISS Fields wizard to update these into your VETtrak database.
- Report qualification as subject-only enrolment.A new “Report enrolments as subject-only” checkbox has been added to the Qualification wizard. This allows you to use a qualification/course as normal, but have it reported in AVETMISS as a subject-only enrolment. This is useful for LMS integrations etc that require a qualification on the enrolment, but need to be reported in AVETMISS without a qualification. This checkbox has the following effects:
- On the AVETMISS page in the Enrolment wizard, when a qualification with "Report enrolments as subject-only" on is selected:
- The Commencing status flag is automatically set to 8 (subject-only)
- The Program Enrolment information will not be available in VIC or TAS
- The "Subject-only training cannot be selected when a qualification is selected" validation error will not occur
- If the enrolment is reportable, a new wizard side-bar alert is shown to indicate the enrolment will be reported as subject-only
- Generate AVETMISS will report any enrolment with a qualification that has "Report enrolments as subject-only" on with:
- No entry in the NAT30 file
- An empty Program Identifier in the NAT120 file
- An empty Program Enrolment Identifier in the NAT120 file, for VIC or TAS generations
- No entry in the NAT130 file
- On the AVETMISS page in the Enrolment wizard, when a qualification with "Report enrolments as subject-only" on is selected:
If you use this to change a unit that has already been successfully reported to SVTS with a program enrolment identifier, you will need to generate a new subject enrolment identifier for the unit
- Special characters. Special white space characters (like tabs, line endings, …) are now removed from phone numbers in the NAT85 generation.
Several changes have been made to the layout of recipients in the Email and Email Template Wizards.
- Grouping recipients. All recipients are now grouped under the client (or employer) to which their recipient type relates.
- Top level recipients. If the top level client (or employer) recipient type is unselected, the top level recipients are unticked and greyed - but no longer removed from the grid.
- Duplicate recipients.If there are duplicate recipients listed which represent the same person (arising from that person qualifying under more than one recipient type), it is only allowed to tick that person once - and once ticked, the duplicate records are greyed.
- When using email templates, the concept of duplicate applies only within the scope of a single grouping (because different groupings will generate different content when merging into the template).
- On the other hand, when emailing manually, duplicates apply across all groupings.
- Types of recipient.When staff types or relationship types are selected (or unselected) from a sub-list of certain recipient types:
- The recipients grid is now updated immediately.
- The type column (and initially the status message column) now includes the selected staff type or relationship type.
- Column widths. In the email wizards, the column widths in the nested detail recipients are now synchronised with the column widths of the top level recipients.
- All managers recipient type. A new recipient type - Client's active managers has been introduced. You can now email any active manager associated with your clients' active employment records.
- Customised merge content for detail recipients. When using a template, it is now again possible to view and to manually customise the content of each email for each individual detail recipient.
- Merging for relationship recipients. An issue has been fixed in the Email Template Wizard where the wrong client was being merged into the template for relationship recipients.
Relationships
- Relationship types. These new relations types have been added:
- School Contact
- Support Contact
- New related client. When creating a new "to" client in the Client Relationship wizette, the new client will now have "Web published" turned off, and "Exclude client from marketing email/SMS" turned on, by default.
- Legacy Emergency contact fields. In response to customer feedback, changes have been made to the emergency contacts panel in both the Personal and Fast ClientWizards:
- The emergency contact panel is now always shown at the bottom of the relationships page, regardless of whether or not any field is populated.
- An Info bubble has been added to explain the different ways of recording emergency contact details.
Finance
- Generate scheduled invoices enhancements. Added Client and employer filters and options to select or expand all in the Generate Scheduled Invoices Wizard. This wizard can now be opened and pre-filtered from the Invoices topic in the client and employer managers.
- Finance system payment transfers. An issue preventing payments from being excluded from finance system transfers has been fixed.
- Finance system payment import. An issue importing payments from finance systems has been fixed.
Enrolments
- Transferring enrolments. The Study Reason and Referral Source are now carried over when transferring an enrolment.
- Bulk enrolment results start date. Logic in the Bulk Enrolment Results Wizard has been adjusted so the start date is only checked by default when there are no start dates present. This amends an issue that could cause the accidental overriding of existing start dates.
- Programme manager high DPI. An issue with scrollbars obscuring the Programme Manager Occurrence date range / Search for occurrence controls for some layouts and displays has been fixed.
Importers
- Empty sub-record. When an importer layout includes fields for a sub-ordinate record, but all of these fields are empty for a row in the import files, then the subordinate record is now ignored completely and the import record is shown as Valid for Import (Green).
For example, if importing a client and all employment fields are empty, the import row is valid to import (without any employment record).
Data Insights
- Created and last updated user. You can now access the created user and last updated user for Awards, Clients, Client Enrolments, Employer Enrolments, Enrolled Units, Invoices, Payments, Staff and Task Enrolments in Data Insights.
- Web enrolment ID. The "Web enrolment ID" field is now available in the Client Enrolment and Employer Enrolment tables in Data Insights.
- Invoice report bulk action. An issue in the Email Template Wizard when bulk emailing a mixture of client and employer invoices has been fixed.
- Select Groups error. An error that occurs when attempting to assign clients to groups in Data Insights has been fixed.
General

- Backup wizard timestamp. The VETtrak version number and the current time is now included in the filenames of Firebird database backup files created in the Backup wizard.
- Images. New images have been introduced for contracts, enrolments, states, and holidays. The Organisation Wizard and Employer Wizard image fields have also been updated, supporting more image formats and the `Fit` option.
LMS
- Moodle course content access. A "Limit course content access" option has been added to the Moodle LMS Integration Configuration Wizard. This setting controls whether access to Moodle course content will be restricted to the VETtrak enrolment dates.
- Moodle transfer results by course. A "Transfer results by course" option has been added to the LMS Integration Configuration Wizard for Moodle to allow fetching all course results in a single call to the Moodle API. This may improve performance when transferring results for occurrences with a large number of enrolments.
- Moodle enrolment transfer. Addressed an issue in the Transfer Occurrence Enrolments to Moodle Wizard causing enrolment transfers to occasionally error when enrolling into a Moodle course with a large number of learners.
- Moodle gradable activities. The list of Moodle activities that can be mapped to units and tasks has been updated. BigBlueButton and Custom certificate can no longer be mapped as they do not have a configurable grade to pass value.
- Canvas unenrolled clients. An issue causing errors to appear for unenrolled clients when transferring Canvas results has been fixed.
- Canvas results transfer occurrence search. Fixed an issue in the Transfer Results from Canvas LMS Wizard which would interrupt the transfer if an occurrence is missing a Canvas course link when using the advanced search to transfer results for multiple occurrences. If any of the occurrences have a missing Canvas course link the results transfer will now continue to transfer results for the other occurrences and present a single warning for the occurrences with missing links at the end of the transfer.
- Canvas results transfer high DPI. A high DPI display issue in the Transfer Results from Canvas LMS Wizard causing the occurrence search to be obscured has been fixed.

New Features
- Caching. Implemented to reduce API calls to see performance improvements for users registering. Commonly used data that changes infrequently, such as the list of Countries for Country of Birth at the AVETMISS step, is cached from an api call and used instead until expiry. The first user to register without cached data (ie. cache expired and is due to be updated) will experience a longer load time than usual (comparable to load times for all users pre-caching) as the data is cached, subsequent users gain the performance increase as the cached data is used over making API calls to retrieve the data each time for each user.
- Close Times. An addition to the Close Dates feature allowing times to be specified as part of the Registration Close Date. This feature introduces changes for compatibility to the handling of Close Dates for Rapid Registrations.
- Referral Redirects. Extends the existing redirect functionality to allow for redirecting to a URL based on the referral source provided in the VETenrol link or chosen by the user during the registration process. Referral Redirects options are available from the Configuration page of VETenrol Admin to manage this feature, which can be used in combination with the Auto-redirect option and for both standard and rapid registrations.
Updates
- Skills First 2023 version 3. The updates for the generated file, which is attached to email notifications and via the download link from the Skills First section in the Registration Details, were applied Thurs 20th July, with Admin eForms updated 25th July 2023.
- Stripe Description for Secure Server payment gateway.The description provided for VETenrol payments will now appear in the Stripe Portal as VETenrol [RegoID] Surname, Given | OccuID [OccuID].
- For example: VETenrol #1278015 Citizen, John | OccuID 1234.
- Contact Diary page. The Contact Diary section in the Registration Details can be shown on a dedicated page. The Contact Diary heading becomes a link to that page if entries exist.
- Pop-ups replaced with mobile friendly bootstrap modals. Replacements were made for:
- Location Details (view classes),
- Save for Later & Save for Support,
- Out of Home and Family Violence definitions for NSW Smart & Skilled step,
- Disability Supplement for AVETMISS step.
