Within the VETtrak Customer Centre we have a Report Request Form that allows you to request a custom report to be developed for use with your VETtrak database.
This article will cover how Report Requests can be submitted via our website using the 'Custom Report Requests' option.

Accessing the Report Request Form
To access the Report Request area and get this submitted, you will need to sign in to our website via the Customer Centre button on the main page, or by clicking here: https://auth.vettrak.com.au/
Once you are signed in, choose the Support Centre option:

Submitting the Custom Report Request Form
Information Page
The first page contains information about custom report service, standard reports, custom report credits and FAQ. To continue with your report request click the ‘Start’ button.
Report Request Type
This page is the beginning of the Report Request Form, it will start by asking your Report Request Type.
Select the option most applicable to your request.
New Report
A request to create a brand-new report file or to create a new version of an existing report file.
Report Change/Update
A request to update/amend an existing custom report file. For example, adding a new merge field or filter.
Report Repair
A request to fix a broken report that no longer runs. For example, an error appears as a result of a VETtrak update.
Report File Name
This page will be displayed if you have chosen New Report as the Report Request Type.
The name you provide here will be the name of the FR3 report file provided to you.
Report Output
This page will be displayed if you have chosen New Report as the Report Request Type.
Depending on the purpose of your report you can choose whether this should be formatted in a print friendly way or in a way that can be best exported to excel in a spreadsheet style format.
A report designed to be printed to paper or exported to PDF. Examples include Certificates, Statement of Attainments, Training Plans, Enrolment Forms and Confirmation Letters.
A report designed in a spreadsheet format for use in Microsoft Excel.
Report Run Options
This page will be displayed if you have chosen New Report as the Report Request Type.
Custom reports can be configured to overwrite existing right-click report options via the Mapped option or configured to accept user-input via the Dialogue Filters option. You can select how you would like to run your report from the options below.
A report run by double-clicking on the report file. The file will be accessed through the Custom Reports Explorer in VETtrak. The report may prompt the user to select from various filter options to show the expected information.
You will need to describe the filter options you would like on the Description page of this form.
A report run through a right click menu item in VETtrak.
A report scheduled to be run regularly on a specific day and at a specific time.
Other
If none of the above options are suitable you can describe how this report should run in the Description page of the form.
Documents
This page will allow you to upload any Supporting Documents to add to your request. Supporting files can include report templates, documentation, logos & other Images.
Our report writers will build reports based off templates provided here, depending on what kind of report you're requesting we prefer templates be delivered in either Microsoft Word or Excel file formats. If you are providing us with logos or other images, we prefer them sent to us as high-resolution JPEG files.
If you would like to upload multiple files or your file size exceeds 10MB you will need to Zip your files and upload the compressed zip file. Alternatively you can upload additional documents by responding to your ticket in our customer portal once you have submitted the form.
Description
The description field can be used to include additional comments that you feel are relevant to the report. i.e. ‘Please display a students ‘Other’ name if they have one, otherwise, display their given name and surname’.
Custom Report Credit Cost
This page will be displayed if you have chosen New Report or Report Change/Update as the Report Request Type.
This page provides information on the credit costs for custom report requests.
CCs
If you have any additional contacts that you’d like notified about updates to your request, you can nominate them on this page. All nominated contacts will be CC-ed into our correspondence with you.
Press 'Submit' to submit your form. You should receive an automated email indicating that your request has been received and is in the report request queue to be processed.
Report request reply times may vary depending on workload however our report writers will endeavor to reply to your report request within 10 business days.
Viewing your Report Request Ticket
Any tickets you have submitted to our VETtrak Support team can be viewed by logging into our customer portal here.
