Choose File > Global Preferences.
Select Programme preferences from the Preference items list, then choose the Attendance tab:
The main preferences are:
- Automation - Automatically start units in class when recording attendance
- Automation - Automatically start tasks in class when recording attendance
An option also exists for users who wish to use the legacy wizard to Record Class Attendance.
Automatically start units in class when recording attendance
This option allows for a Unit attached to an Occurrence Class to have a result recorded against it when a Student has a positive Attendance Record entered for the class.
Units can only be automatically started when positive class attendance is recorded for a client if:
- The class in the occurrence has units assigned to it.
- The client's enrolment in the occurrence, or its linked enrolment, contains the unit.
- The enrolled unit does not already have a result.
With this option turned on, the act of recording the Students attendance will automatically add the result type from this preference page to the Unit in question, with an end date calculated based off the 'Months in Future' selection. This will be capped to the enrolment's end date.
Only result types that are considered Continuing-type results can be utilised in this way. A Final result will still require to be entered via the Record Results functionality of your choice.
Automatically start tasks in class when recording attendance
This option allows for a Task attached to an Occurrence Class to have a Task Activity recorded against it when a Student has a positive Attendance Record entered for the class.
Tasks can only be automatically started when positive class attendance is recorded for a client if:
- The class in the occurrence has tasks assigned to it.
- The client's enrolment in the occurrence, or its linked enrolment, contains the task.
- The enrolled task does not already have activity.
If all the above is true, task activity will be recorded in the enrolled task using:
- The Task Status preference selected.
- The start date of the task activity will be the start date of the attendance.
- This may cause the automatic triggering of unit results as per usual, if you have configured tasks to do so, even if you choose not to automatically start units due to attendance. If you have configured units to automatically start due to both task activity AND recording attendance, then the task activity setting will take precedence.
Only task statuses that are considered Active can be utilised in this way. A Completed/Cancelled Task Status will still require to be entered via the Record Task Status functionality of your choice.
