The Confirmation Email is an automated message sent to users on completion of the registration process, which contains details of their registered course.
Settings for the Confirmation Email are accessed from the Configuration () page in the VETenrol Admin. They provide control over the content and other options relating to the email sent to users.

Key aspects of the Confirmation Emails page:
- Navigation
- Preview — opens the pop-up to show the default confirmation email content. This preview will show the system default, or the content for the custom confirmation if it exists.
- New Attachment — opens the pop-up to upload a file to be sent with the confirmation email as an attachment.
- New Override — opens the pop-up to assign a mail template to replace the default for a specific programme.
- Save — Commits any changes to the settings. It appears to the right of the navigation area and at the bottom of the page. Saving will keep changes to settings made across tabs.

- SMTP — opens the mail server settings.
- Categories
There are three tabs to navigate between the setting categories:- Settings — general options for the confirmation email.
- Attachments — functionality to include files as attachments to the confirmation email.
- Overrides — functionality to choose an alternative template to use as the confirmation email for specific programmes.
Settings
This category applies to the default confirmation email. Settings is the default tab for the Confirmation Emails page. The options are further divided into four sections:
Confirmation Settings
This section offers the general settings for the confirmation.
- Do not send confirmation email
Toggle this option to globally allow or prevent the sending of the confirmation email that normally goes out upon completion of the registration process. - Include copy of registration details as attachment
Toggle this option to include a PDF version of the complete registration details as an attachment to the notification email. This attachment will only be included if a SMTP Server has been set up for your VETenrol account. - Exclude signature areas from attachment
Toggle this option to remove or include the signature section in the attached registration details.
Student Portal Credentials
This section relates to the inclusion of details for accessing the Student Portal as part of the confirmation.
- Initiate Student Portal password notification
Toggle this setting to include the notice regarding student portal access in the confirmation email, which will also trigger the Student Portal to send out a forgotten password notification for the user. - New User
Text provided in the confirmation email to the user when a VETtrak client record did not exist for them and has been created as a result of their registration.- Click the Default button to insert the system default for editing.
- Type plain text or html directly into the field. Alternatively, click to open the Editor, where text can be entered and formatted, then click Apply and the resulting html will be inserted into the field. Click Save to commit the changes.
- Existing User
Text provided in the confirmation email to user when an existing client record exists for that user.- Click the Default button to insert the system default for editing.
- Type plain text or html directly into the field. Alternatively, click to open the Editor, where text can be entered and formatted, then click Apply and the resulting html will be inserted into the field. Click Save to commit the changes.
Note
The occurrence the user is registering for must be auto-processed (otherwise the client matching results will not be available at the time of the confirmation email being sent out)
Group Registration Participants
This section is for settings that apply on confirmation of a Group Booking.
- Email group participants where applicable
Enable this checkbox to send an email to individuals registered via a group booking (where emails have been supplied). - Mail Template
Select the template to be used when sending the email.
Custom Confirmation
The options in this section will globally replace the relevant system defaults for the email confirmation, allowing the email to be customised.
- Subject Line
The subject line for the email.- Click the Default button to insert the default Subject Line for editing.
- Message
The message component of the email. Enter text or HTML here to override the system default- Click the Default button to insert the system default for editing.
- Type plain text or html directly into the field. Alternatively, click to open the Editor, where text can be entered and formatted, then click Apply and the resulting html will be inserted into the field. Click Save to commit the changes.
- The Preview button can be used to review changes to the content after saving (placeholders are not populated).
- EFT Notice
Text provided for displaying banking details if EFT was selected as the customer's payment method. This text is included in the message component as required. Enter text or HTML here to override the system default.- Click the Default button to insert the system default for editing.
- Type plain text or html directly into the field. Alternatively, click to open the Editor, where text can be entered and formatted, then click Apply and the resulting html will be inserted into the field. Click Save to commit the changes.
