Volume Discounts

Volume Discounts are exclusively for use with the Group Bookings feature. These discounts are applied when the number of places the user has indicated during the booking process falls within a set range.

Volume Discounts are managed in the VETenrol Admin from the Configuration () page, via the link under Group Bookings.

This article is about managing Volume Discounts in the VETenrol Admin:

Note

Discount Codes also apply to Group Bookings. Be mindful of how your Volume Discounts and Codes could be used together.

Managing Volume Discounts

Navigate to the Group Discount page in the VETenrol Admin via Configuration (). This can be reached using the Volume Discounts link under Group Bookings or using the Group Discounts button from the Discount Settings link under Payment Settings.

There are two key aspects of the Group Discounts page:

  1. Navigation buttons
    • New — Show the Volume Discount popup to create a new discount.
    • Group Bookings — open the settings page for the Group Bookings feature.
    • Discount Codes — open the page to manage discount codes, which can be used for a group booking.
    • Discount Settings — open the page to manage discount settings.
  2. Group discount list
The list will not display until at least one volume discount has been created.
    • Range link — Show the Volume Discount popup to edit the existing discount.
    • Selected programmes link — Assign which programmes the discount applies to.
    • X iconDelete link — permanently removes the discount.

Creating a Volume Discount

To create a discount:

  • Click the New button to open the Volume Discount pop-up.

VETenrol Admin Volume Discount popup

  • Enter the Lower Limit. This is the lowest number of places the user must book to get the discount, for example: 3.
  • Enter the Upper Limit. This is the highest number of places the user can book to get this discount. This value might be a smaller number, like 5, if a better discount will apply for booking more places, or it might represent the maximum number of participants a trainer can teach at one time, such as 15, if it is the only active discount.
  • Choose the Type of discount. The field for the value will be labelled accordingly.
    • Percentage Off — the value is the percentage by which the price will be discounted.
    • Amount Off — the value is a set dollar amount deducted from the price.
    • New Amount — applies the value as the new total price.
  • Choose the option for Applies to to identify if the discount is valid when entered for all programmes, or only for specific programmes.
  • Click Save.

The new discount will be added to the list. To add more volume discounts, repeat the above steps.

Setting the Applies To value for a Volume Discount

Bookings will be discounted automatically based on the indicated number of places and as determined by the Applies To value for the volume discount:

  • All programmes — the discount will be applied for any booking, providing the range requirement is met.
  • Selected programmes — the booking must meet the range requirement and be for one of a pre-approved list of programmes and/or occurrences as set in the Admin.

The applies to setting for a volume discount can be changed at any time.

Note

Changing from Selected programmes to All programmes will result in the list of selected programmes set for the Volume Discount being removed on save.  Swapping to Selected programmes again will mean any previous entries associated with that discount will no longer exist.

To change the Applies To for an existing discount:

VETenrol Admin Group Discounts page

  • Click the Range link to edit an existing discount.
  • Choose the Selected Programmes Only (or Any Programme) option for Applies To from the Volume Discount popup.
  • Click Save.

The list will be updated to show the new value, and any other relevant changes made at the same time.

Choosing the Selected Programmes for a Volume Discount

Volume Discounts that apply to Selected programmes allow those programmes and/or occurrence IDs to be viewed and managed from the Group Discounts page.

  • Click the Selected programmes link.

This will open the programmes page for the discount range.

There will not be any entries for the discount at first, however once entries exist they can be managed from the list.

While there is no list for a discount it will not be able to be used, as no programmes or occurrences have been approved.

Adding to the list of selected programmes

Click the New button (or Create new link) to open the Assign to Discount pop-up.

Assign to Discount popup

  • Use Type to choose either Programme or Occurrence to specify for what the discount will be valid.
This setting will determine the label and expected input for the field below it:
    • Programme Name — Enter the exact name of the programme, search results should appear for selection after a few letters have been entered. The discount will be valid for any occurrence of this programme.
    • Occurrence ID — Enter the occurrence ID of the occurrence for which the discount is valid. The discount will only be valid for that specific occurrence (unless other entries exist or are created later).
    • For assistance to identify the name or ID to enter, see the API Summary Report

  • Click the Save button.

The entry has now been set and will appear in the list. Repeat these steps to create additional entries as needed.

Managing the selected programmes list

The programmes page for the discount range is used to set and manage the programmes and/or occurrence IDs that can receive the discount.

There are two key aspects of the page:

  1. Navigation buttons
    • Back — Return to the Group Discount page.
    • New — Show the Assign to Discount pop-up to add a programme/occurrence to the list.
  2. List of approved programmes/occurrences for the discount.
