Using Contact Diary

The Contact Diary is available from Registration Details. It keeps a record of activity for the registration. The Contact Diary can be used from its section on the Registration Details page or opened to its own page.

The following activity is recorded and will be listed as entries in the Contact Diary:

  • Comments made by the user during the registration process:
    • As entered into Special Requirements/Notes (Standard) or Notes (Rapid).
    • Save for Support comment(s).
  • Actions undertaken via the Admin by staff members:
    • Manual entries.
    • Status Changes.
    • Emails sent.
    • Updates to Client Details.
    • Changes to Occurrence.
    • Cancellation.


The Contact Diary Section

  • Click the Contact Diary link to open the dedicated page. The section heading will only be a link if at least one entry exists.
  • The Add Entry button allows for manual entry of a Contact Diary record.
  • View the full entry details by clicking the link text for the Comment.

  • Click the Date / Time link to view full details of a record. This opens the Diary Entry in a pop-up.
  • Click Add Entry to create a manual diary entry for the registration. This opens a blank Diary Entry pop-up ready to complete.
  • Click the Back button to return to Registration Details.


Adding Entries

To create a new record manually:

  • Click the Add Entry button. This can be done from the Registration Details section, or the dedicated page.

Diary Entry

  • Click in the Date field to select a date. This will present a calendar for easier selection, defaulting to today's date.
  • Enter the Comment in the field provided.
  • Click Save.

Note: As the Contact Diary is intended as a record of activity, entries cannot be deleted or edited after creation. Additional details such as IP address and username will be recorded for the entry.
