Q. Is there a demo account for the Trainer Portal we can take a look at?
A. Yes, there is a demo account available for anyone who would like to take view and test the functionality of the system. 

Q. We would like to use the Trainer Portal but don’t want the Student Portal. Is it possible to still use the Trainer Portal without the Student Portal?
A. Yes, you can use the Trainer Portal without a need for the Student Portal. 

 

Q. How do we get a location noted for a class to show on the portal, as often as classes on a 3rd party site?
A. The location shown for each class is set on the class itself. Going to the class in VETtrak and editing the room sets the location for the class (more information). 

 

Q. Can a trainer make changers to a class within the Trainer Portal?
A. Yes. If they have been given access to do so, they can undertake tasks, including changing the staff member and units/tasks (more information).  

 

Q. I don’t want trainers to automatically send data to VETtrak without review. Can we stop this?
a. Yes, you can setup the Quality Assurance Manager (more information) and once enabled, an admin will need to review everything a trainer updates in the Trainer portal before it comes into VETtrak (more information). 

 

Q. Is it possible to only have results, not attendance, pass through QA?
A. Yes, when configuring this feature you can enable based on your requirements (more information).
 

Q. Will the QA Manager notify admins that there is data to be reviewed?
A. No, this functionality does not currently exist.

Q. Can we stop the trainer seeing file notes in the system?
A. Yes, you can manage access to file notes within Application/Role Management, under Trainer Web Portal > ( Trainer Portal Role) > VETtrak Trainer Portal > Correspondence > file notes.
 

Q. What devices can the Trainer Portal be accessed on?
A. The trainer portal is a web accessible platform and is mobile friendly. It can be accessed on computers, tablets and phones. 

 

Q. When marking attendance, can trainers add notes (eg. absence reason, what was discussed in class on the day)
A. Yes, if using the customisable attendance type. You can enable the option for notes to be entered (more information).  

 

Q. Can trainers make changes to classes?
A. Yes, class changes can be made through by trainers in the Trainer Portal (more information). 

 

Q. What can Attributes be used for?
A. Attributes are a way of recording custom information against a client or employer. They are commonly used as a 'tagging' mechanism so you can identify certain clients or employers via a particular attribute. Attributes can be flagged as 'Important' to better draw attention to particular attributes when present (more information)  

 

Q. If a student has been marked competent in Ready LMS, will this be reflected in the Trainer Portal?
A. Yes, this just comes down to the unit mapping. 

 

Q. Can the order of units and students lists be rearranged?
A. When viewing units and students lists you can change the order/view through the filter options. 

 

Q. Does the Trainer Portal integrate with Microsoft 365?
A. No, the this capability does not currently exist. 

 

Q. If you send an SMS from the Trainer Portal, will it also show on the Trainer’s phone?
A. No. 

 

Q. Can you generate and print reports from the Trainer Portal?
A. No, however, if you created a report in VETtrak and saved it to VT Docs, you would be able to see it within the Trainer Portal. 

 

Q. Can you control what gets pushed from the Trainer Portal into QA and directly to VETtrak?
A. Yes, this can be controlled through the global preferences in VETtrak. 

 

Q. Does the messaging link in with my text messaging and Outlook so that student responses flow back into the Portal as well?
A. No, this capability does not currently exist. 

 

Q. Can we have more than one type of attendance mode, dependant on course preference?
A. Attendance mode can be set either at a system level or a program level (more information). 

 

Q. If we give trainers access to results within the trainer portal, can we make this read only?
A. Yes, you can manage trainer portal roles in VETtrak Security. You will need to edit the results option, removing ‘edit’, ‘add’ and ‘delete’ options and enabling ‘view’. 

 

Q. Do you receive notification of portal messaging if sent from VETtrak?
A. No, these notifications do not currently exist. 

 

Q. Is it possible for trainers to view messages sent from other trainers (i.e. when caseload handovers occur)?
A. No, this capability does not currently exist.
